Keeping Your Office Running During the Polar Vortex

The polar vortex (as this horrible, frigid weather has become known) is having a negative effect on many a business as employees and customers alike, fearing hypothermia and dog sled traffic, stay in their homes. But there are a few things you can do to enable your office to continue as usual, even in the face of subzero temperatures.

Offer Warm Beverages

If you’re brick and mortar, offer a warm incentive to bring customers into the store. A hot chocolate stand never hurt anyone during a cold snap. Use your social media channels to let customers know that even though the weather outside is horrifying, they’ll be happy they braved it to visit your business.

Make the Phone Your Best Friend

Customers are getting used to hearing closed due to weather, so if you’re open, make sure you have a way for callers to reach you and find out. Put a phone number on your website on every webpage, ideally and provide your phone number in online and offline advertising efforts. Don’t lose a single customer just because they assumed you weren’t open. Be reachable so that when they call to see if you’re ready for business, you can answer and say, You bet we are. Come on over. Wear mittens.

Enable Employees to (Actually) Work From Home

Just because your employees need to stay home doesn’t mean they have to be unproductive. A virtual call center enables your employees to answer calls and tend to customer needs just as if they were in the office. They don’t even need a desk phone. They can use a mobile device, a landline, or even Skype. It may be cold outside, but your customer service (and your reps) stay warm. Every call gets answered, no matter where your agents are.

Make Deliveries Efficient

If a major part of your business is deliveries pizza or furniture: it doesn’t matter then ensure that you have the most efficient system possible. You don’t want your drivers out in this weather any longer than necessary, so use voice broadcasts to be sure that customers are aware of their deliveries and can be home for receipt.  Or, if they’re not available, let them reschedule right away on the phone so that your drivers aren’t wasting time in the snow.
